Occupational Summary:

Provide overall administrative management and coordination of business related functions for Duke Children's Development Office, including finance, budget, gift administration and special event appeals.Manage policy and procedure with regard to University and School of Medicine accounting and procurement guidelines, and formulate and oversee policy and procedure with regard to donor gift agreements and institutional gift compliance. Compile, analyze and report on the financial results forall activities within Duke Children's Development.

Work Performed:

Financial Accounting - 35%

Analyze and reconcile monthly financial statements to determine proper processing of revenues and expenses by fund code, in accordance with University policies and procedures.
Monitor, verify and review fund code balances for transfer of funds to the Department of Pediatrics.
Prepare funds report detailing restricted and unrestricted gifts for the previous fiscal year.
Prepare journal entries in R\3 to correct any errors in financial statements on a monthly basis and prepare routine monthly journal entries.
Prepare AP Check Request and Buy@Duke orders as needed.Process procurement card transactions for the Children's Development group on a weekly basis through the on-line travel and reimbursement system in Duke@Work and ensure compliance with University procurement policies.
Review and approve gift transmittals to Alumni & Development Records(ADR).
Maintain liaison between Alumni & Development Records (ADR) and Duke Children's staff to ensure all donations are recorded and allocated to the proper revenue fund codes in a timely manner.
Prepare Bursar deposit transmittals for non-gift revenue.
Oversee calendar year-end recognition of donors by giving levels.
Maintain giving results for the direct mail program.Provide management of all financial reporting for the Children's Miracle Network Hospitals (CMNH) program.
Track all CMNH giving through the EZ-PMR software to ensure timely quarterly distributions from the CMNH national office.

Financial Reporting - 30%

Create standard and customized reports of philanthropic and private support progress.
Provide staff with analytical reports detailing gifts annually or more frequently as needed.
Compile data and prepare operational and financial reports and analyses setting forth progress,adverse trends and appropriate recommendations for Duke Children's fund raising activities.
Review, analyze and prepare year-end summaries of income statements for all fund codes for Duke Children's Development.
Prepare income statements for various special events for Children's Development.
Monitor and report on financial performance of these events.
Make recommendations based on the analysis of these events.
Develop year-end projections for transfer of funds to Department of Pediatrics.

Special Event Support - 20%

Coordinate data entry of all credit card pledges for the Radiothon with Gift Records.
Recommend and implement changes and modifications as needed.
Maintain spreadsheet for internal counting of all pledges from online and the phone bank.
Oversee the implementation and use of BidPal or similar software for all events within Duke Children's Development such as the Gala and JVKK (Jim Valvano Kids Klassic).
Ensure accurate tracking of guest registration, donors, auction items, and proper processing of payment amounts, which includes cash, checks and credit cards.
Provide financial management for the Duke Children's Horse Show and other Children's special events.
Serve as the liaison for all Children's special events.

Budget - 10%

Plan department budget needs by analyzing department programs on both a short and long term basis.
Confer with Directors of the Children's Development program to review and recommend priorities and goals for future needs.
Review and compare previous year's submission to current year's budget and analyze year to date budget variances in both compensation and non-compensation areas.
Work with the Executive Director, Children's Development to prepare budget documents for submission to the Chairman of Pediatrics and the Pediatrics business office.
Assist in developing short term and long range plans that impact the efforts of the development staff in raising increased levels of philanthropy for Duke Children's Hospital.

Staff Management - 5%

Supervise and coordinate work of the Data Manager for Duke Children's Development.
Perform various personnel functions including, but not limited to,hiring, performance appraisals,promotions and vacation schedule.

Perform other duties as assigned.

Education

Work requires a Bachelor's degree in Accounting, Finance, Economics,Business Administration or a related field. CPA is desirable.

Experience

Work requires four years experience in financial management, costaccounting or a field directly related to specialized area ofassignment.OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
